We are improving the way Tanda organises locations
Our aim is to provide you with a simple and intuitive way to organise your business to support rostering, reporting and payroll.
After speaking with a range of customers about how they use Tanda to organise their business we’ve identified some key improvements to best support you:
- Better organisation and distinction between roster locations and departments
- Simplification of the way you categorise staff
- Intuitive rostering based on your business size
What are we building?
The most fundamental change to the system involves the addition of a location level of grouping above departments (renamed to teams).
This will give you a much simpler way to separate your roster locations, rather than setting up a department for each one.
Departments are packed with useful functionality that you love, reporting, manager permissions etc. But one thing we noticed departments are neglected for is rostering. To make them more useful on your roster we are giving them colour coding and a level of extra information called shift details for when you need it. As a part of the departments functionality refresh we are also renaming them to Teams, we think this name is more reflective of the way our customers use the feature.
How will these changes impact my setup?
The changes we are introducing are not removing any of the functionality that is currently available in Tanda.
My business works out of one location
- You will no longer need to worry about having both roles and departments.
- The difference here is that you can now use teams (departments to be renamed) as your primary roster tagging method. Your set up, rostering and reporting will all be simpler and easier.
- If you need more detail on your roster for things like higher duties, you will still be able to do this using shift details.
My business has multiple locations
- The addition of locations will mean you can group teams (departments to be renamed) based on their actual store / location. This feature will greatly enhance and organise your business set up and provide you with the flexibility to expand your business and easily manage this growth.
- Instead of having to select both the department and the role managers at each site will just be able to select the team manager (departments to be renamed). For people who need to view or roster people across locations, each team (departments to be renamed) will show a short code that shows the location the department is in.
- Different locations / stores will now be able to have different options on their roster without affecting (and confusing) managers at every other site.
In rare cases when it is necessary you will still be able to add a shift detail into the team within a location.
When are these changes coming?
In the coming months we will start building these changes and testing them with our customers. Keep your eye out for opportunities to provide feedback and ask questions.

Calendar Integration for Employee Rosters and Leave
Today we’re releasing some new features driven by open data, designed to make staff management in the enterprise simpler and more flexible. Tanda users are now able to export or subscribe to calendars of staff leave, rosters, and birthday, in the open iCalendar format. This format works with any computer or mobile device and doesn’t require specific apps or further work to integrate into other systems. If you are already a Tanda user, you will see this new feature when you next login to the system. Otherwise, if you love the sound of this, sign up for a free trial of Tanda. Tanda CTO Alex Ghiculescu said, “By making data open for our users to access, they can use it from any system they like. While some competitors lock their users into specific data formats and apps that only work on Windows Phone, we believe that employees using Tanda should be able to see their roster from whatever phone they happen to own.” How is the feature used? Using Tanda, staff are sent their rosters by email or SMS when published by managers. They are also sent a link they can use to subscribe to their roster in a calendar program like Google Calendar, iCal, or Outlook, or a phone calendar on iPhone, Android, or any other platform. This calendar updates automatically as managers publish new rosters. Managers are also able to subscribe to a calendar of staff leave or a calendar of birthdays. The only thing it doesn’t do is bake them a cake.

New weather feature for Tanda Rosters
If your business is often affected by weather conditions, wouldn’t it be great if you could roster your staff based on whether it’s sunny or raining next week? Now you can! Tanda has just integrated a 16-day weather feed into its new rostering platform. This new feature helps improve the decision process for rostering managers, by giving them more relevant data. The weather information even includes high/low temperatures for each day with data refreshed every 10 minutes. The data is sourced from a major weather information provider with data of over 200,000+ cities around the world so it doesn’t matter if you’re rostering for a location in Sydney or Antartica. New rostering features allows you to get visual with pay rates
This week at Tanda, we’ve launched some exciting new features to give businesses a complete visual breakdown on different pay rates that are applying on the roster. This is a game changer in allowing managers to easily build a fully costed, compliant and optimised work roster. Making it easier to understand the cost of a roster Tanda’s always given you the cost of a roster, broken down by each employee and each day. However, even that doesn’t always make it clear why costs blow out sometimes. This is why we built the roster costing chart. Visible on the costs view of their rosters, it shows a breakdown of each hour of the employee’s roster, showing if the time will be ordinary time or overtime and the cost that it’ll be paid at. With lots of staff on a roster, you’ll see a small preview for each person. We call it the candybar because of how datalicious it looks. You can even sort the list of staff based on this candybar – so you can order rosters based on who has the most complex costing which usually comes from having the most different kinds of overtime. Making it easier to give staff the hours they want We’re tackling these problems from both ends to give you more tools to make great rosters. You can now set the preferred hours that someone would like to work on their employee profile. If you roster someone with a lot more, or a lot less, hours than their preference, you’ll see a reminder on your roster. There’s 10% leeway on either side, which means you don’t need to roster everyone with exactly the number of hours they want – just in the general vicinity. This is a great way of giving staff hours they are happy with, while still maintaining the natural flexibility in hours required for casual employment. Did you know? If you roster a casual for the same hours every week, most Modern Awards include a clause where you need to offer them a permanent contract. Fair Work refers to this as “regular and systematic” rostering. Our goal at Tanda is to make it super simple to build a roster that is both compliant and optimised under your relevant Fair Work Award.
